When and how should I amend a presentation record?
When to record presentations
When a CAU makes the decision to approve, cancel or suspend a module's presentation(s), then the relevant contact person should be informed of it. This constitutes the permission necessary for the creation or updating of the presentation records on Planet. The presentation data in the appropriate Planet screens can be updated over time to reflect any changing intentions about the module's presentation (e.g. cancelling specific presentations), but there are 3 key issues that should be considered before any changes are made:
- Student mailings, student registrations and student number forecasts all rely directly on Planet presentation data, so before a module contact person updates any presentation data they should read the PL019 screen help pages carefully, along with the guide to what presentation records are used for and by who uses them (this will enable them to identify relevant staff groups that should be consulted before any actions are taken).
- Planet does not record standard resit presentations. These are only stored on the CIRCE system.
- The deadline for setting a presentation's status to 'Approved' is 18 months prior to that presentation's start date. This gives Student Services the minimum amount of time to prepare for advertising the module presentation and setting up student registrations on CIRCE.
How to record presentations
PL019 is used to record the details of each individual presentation, including presentation codes (e.g. 2005E), exact start dates and statuses.
Presentation statuses are distinct from module edition statuses on Planet. Module edition statuses reflect planning, production and academic approvals; presentation statuses indicate to operational units the level of CAU intention to present the module (for registrations, forecasting and mailings).
The correct presentation status should be used at the correct time, or certain student processes will fail (e.g. a presentation status of 'Provisional' may prevent the opening of the student registration period prior to that presentation). The screen help in PL019 gives a summary of the presentation statuses available, and how they should be used.
Use of MOPI codes
There are conventions that decide which MOPIs should be used for specific months of the year:
- Add to the year the relevant MOPI that corresponds to a specific start month (e.g. 2008B for February 2008, 2010E for May 2010, 2012J for October 2012).
- Valid MOPIs are A-K, X, or blank for normal module presentations (X is for December).
- If a presentation that would ordinarily start in a particular month slips outside that month by 1-2 weeks, Planet will allow this amount of flexibility to accommodate study calendar slippage in certain years. Any greater flexibility will need the agreement of the Liaison & Information Team (Module Presentation Office, Student Services).
- The 'blank MOPI' that formerly indicated February starts is no longer used.
- L, M, N or P are only used for Final resit presentations
- Residential school presentations usually only have an ‘E’ MOPI, regardless of their start date.
