How do I produce a contents checklist (CCL)?

When a module presentation’s mailing inventory has been created by a production & presentation administrator (PPA) and approved by the module team, the contents checklist (CCL) screen REP14 is then used to do two things:

  1. To publicly approve the mailing inventory, which locks the mailing and prevents further changes to it by the CAU’s production & presentation administrator (PPA). This ensures that the warehouse will not receive a CCL that is out of step with the mailing inventory on Planet. Any difference between the CCL and the Planet mailing can be extremely costly.
  2. To then produce a valid CCL based on this approved inventory. The CCL will be produced on screen as a Word document that contains a list of the items in the mailing, some basic module title information and some static text from the warehouse advising students and ALs what to do if anything appears to be wrong with their mailing.

Before the mailing inventory is approved and locked, REP14 can be used to produce draft CCLs that are not intended for use by the warehouse. The final CCL, however, must always be one for an approved mailing inventory, as this provides the warehouse with a guarantee that it matches the mailing data on Planet.

The item titles on the checklist are taken from the 'long title' fields on the item edition screens. These can be updated by the contact person for the module. The 'long title' field allows up to 50 characters as opposed to 24 for the short title.

Module mailings only contain physical items to be sent to students. Production and presentation administrators can set up virtual mailings that include web items and eText items. They use these to help keep track of web materials and their go-live dates. Mailing information relates to item editions; it is not concerned with which impression is actually being sent in the mailing as impressions should be interchangeable.
